The Hidden Cost of Entering the Same Data Twice
Double entry feels small. The real cost is the second version of the truth it creates.
When the same fact is typed into two places, the time is the smaller problem. The bigger one is drift. One copy gets updated and the other does not. Later, someone has to decide which one is right.
That decision is hard to make under audit pressure, and harder when the person who knew the answer has left.
An exercise for your team
- List the five facts your staff type most often.
- For each one, write down every place it is entered.
- Pick one place as the source of truth.
- Ask whether the other entries could be a view of the first instead of a second copy.
Some double entry is unavoidable, and a good process says which copy wins when they disagree. Where it can be removed, the saving is not only minutes. It is one fewer place for an error to hide.
